Writing Application Letters and Other Functional Texts
An application letter is a formal letter written to apply for a job or make an official request. Like all functional texts, it follows a specific structure and uses formal language to communicate clearly and professionally.
Application letters serve important official purposes such as:
- Applying for employment opportunities
- Making formal requests to institutions or organizations
- Communicating with government offices, schools, or businesses
These letters are sometimes called formal or business letters because they are used for professional and official communication.
Every application letter must include these parts arranged in order:
1. Sender's Address (Letterhead)
- Written on the top right-hand corner
- Includes your street address, village/town, and postal code
- Example: P.O. Box 234, Mbeya
2. Date
- Written below the sender's address
- Use the full date: 15th June, 2024
3. Reference Number
- Optional but common in formal letters
- Written on the right side, below the date
- Example: REF: APP/2024/05
4. Recipient's Address
- Written on the left-hand side
- Includes the name and title of the person, organization, and address
- Example: The Personnel Officer Sunshine Secondary School P.O. Box 890 Dar es Salaam
5. Salutation
- A formal greeting
- Use "Dear Sir/Madam" when you do not know the recipient's name
- Use "Dear Mr./Ms. [Name]" when you know who you are writing to
6. Heading (RE or REF)
- States the purpose of the letter in brief
- Written in capital letters
- Example: RE: APPLICATION FOR THE POST OF SCIENCE TEACHER
7. Body of the Letter
The most important part containing your message. It typically has three paragraphs:
First paragraph: State the purpose of your letter immediately. Mention the position you are applying for and where you learned about the opportunity.
Second paragraph: Present your qualifications, skills, and experience. Be specific and relevant to the position.
Third paragraph: Request an interview or further action and thank the reader.
8. Complementary Close
- A polite phrase ending the letter
- Examples: Yours faithfully, Yours sincerely
- Note: Use "Yours faithfully" when you begin with "Dear Sir/Madam"; use "Yours sincerely" when you use a name
9. Signature
- Write your signature above your typed full name
- Include your title or position if relevant
